Privacy Policy
1. About this policy
This policy explains how YGO Display uses personal information when you visit https://ygodisplay.co.uk/, contact us, use our chat assistant or become a customer. We sell digital menu screens (commercial screens, a media player and cloud menu software managed from your phone) to UK food businesses.
2. Who we are
YGO Display is a brand of Y-GO DIGITAL LTD. We are the data controller for the personal information described in this policy.
Email: hello@ygodisplay.co.uk
Our company number and registered office are under Company details at the end of this page.
3. Information we collect
3.1 Quote and contact form
When you send the form we collect your name, shop name, email address, your message and, if you give it, your phone number. The form also sends two hidden fields: the page language and the product you asked about. The form is emailed to hello@ygodisplay.co.uk. Copies are not stored on the website.
3.2 AI chat assistant
Our AI chat assistant is an automated AI tool, not a person. When you send a message, our server passes it to our AI provider so the reply can be written. The provider is Anthropic (Claude) or OpenAI, whichever is set in our chat settings. Our server does not save your conversation or email it to anyone.
The chat assistant doesn't save your conversation in your browser. It sets one cookie, PHPSESSID, which holds only a session ID and ends when you close your browser. We use it to limit how many messages can be sent. Each message goes to our AI provider along with up to the last 12 messages of the conversation, so it can reply in context.
Please do not share sensitive personal information in the chat, such as health details or bank or card details.
3.3 Website server logs
Our web host keeps standard access and error logs. These record your IP address, the time and the page requested. We use them only for security and to fix problems.
3.4 Customers
If you buy from us, we also hold:
- Account details: the owner's name, email address, phone number and venue address, used for delivery, invoicing and your menu software account
- Screen content: menus, prices and images you upload to the cloud menu software
- Billing records: invoices and payments
4. How we use your information
- To reply to your enquiry and send you a quote
- To answer your questions in the chat
- To deliver your screens, set up your menu software account and support you
- To invoice you and keep business and tax records
- To keep our website and systems secure
We do not use your information for marketing without your permission, and we do not sell it.
5. Legal basis
- Steps before a contract, and contract: to answer your quote request and supply what you order
- Legitimate interests: to reply to enquiries and chat messages, and to keep our website secure
- Legal obligation: to keep accounting and tax records
6. Who we share it with
We only share information with providers who help us run the service:
- Website host: Unlimited Web Hosting UK Ltd (server in the UK)
- AI providers for the chat: Anthropic and OpenAI
- Email provider: Unlimited Web Hosting UK, the same host as this website.
- Delivery: the courier or supplier that delivers your screens to your venue
- Professional advisers and authorities: where needed, or where the law requires it
7. International transfers
Anthropic and OpenAI are based in the United States, so chat messages are processed outside the UK. When information is transferred outside the UK, we rely on the appropriate safeguards required by UK data protection law.
8. How long we keep it
- Chat messages: not saved on our server. The AI provider may keep them for a limited time under its own terms.
- Customer and billing records: as long as you are a customer, and after that as long as UK tax and company law requires (usually six years)
9. Cookies
We use one short session cookie for the chat assistant. It limits how many messages can be sent (30 messages every 10 minutes). It is strictly necessary, so we do not ask for consent. The chat widget stores nothing else in your browser.
We do not use analytics, advertising or tracking pixels. Our fonts are hosted on our own server, so your browser does not contact Google Fonts.
10. Security
The website uses HTTPS. Only people who need your information can access it, and our providers must protect it. No internet transfer is completely secure.
11. Your rights
Under UK GDPR you have the right to:
- ask for a copy of your information
- ask us to correct it
- ask us to delete it
- object to or ask us to restrict how we use it
- ask us to transfer information you gave us
To use these rights, email hello@ygodisplay.co.uk. We will reply within one month.
You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk. We would appreciate the chance to deal with your concern first.
12. Children
Our service is for businesses and is not aimed at children.
13. Changes to this policy
We may update this policy. The latest version will always be on this page, with the date at the top.
